Behind the Scenes: How We Build an Engaging Virtual Author Visit

BookBreak may look effortless, but there is a lot going on behind the scenes of every virtual author visit. Our hosts make each session feel like a natural conversation, and students often experience it as a simple, engaging exchange with an author. However, that ease comes from thoughtful planning, intentional design, and a deep commitment to student voice. 

Here’s a peek behind the curtain to see how the magic of a virtual author visit comes to life.

Planning the Magic: Preparing for Your Virtual Author Visit

Before a single class logs on, the work has already begun. First, BookBreak hosts carefully read the author’s work. Then they take a deep dive into their life, career path, and personal interests. For example, we learned that Marie Lu worked in the video game industry, Ibi Zoboi uses a color-coded system for her wardrobe each week, and Rex Ogle has written under multiple pseudonyms. All these facts, dug up by our hosts, help humanize the author for students. As a result, the virtual author visit becomes more than a Q&A. It becomes a meaningful connection.

Hosts also write a detailed run-of-show, plan thoughtful questions, and design interactive elements to keep students engaged throughout the experience. They create supporting resources, including classroom materials and follow-up activities, flyers, bookmarks, and more. All this ensures that each author visit extends beyond the single session. Educators (and students) may only see the final product, but a great deal of intention goes into making sure each part of the virtual author visit feels meaningful and useful.

The Pre-Live Ritual: Sound Checks and Author Prep

Right before the session begins, the energy shifts. There is excitement, anticipation, and just a hint of nervousness. In fact, those final few moments right before a virtual author visit feel like the moment before the curtain lifts on stage. Everything is ready, but anything could happen.

During this time, our hosts are connecting with the author, testing audio and video, and helping the author feel comfortable and prepared. Just as importantly, they work to create a welcoming space where authors can relax and be themselves. BookBreak host Kaylyn Farneth describes the excitement as “those nervous little butterflies before a big moment,” which demonstrates how much care goes into setting the stage for a successful virtual author visit.

Now we’re live! The session has begun and the host takes on the role of guide. They keep the conversation flowing, ask thoughtful questions, and ensure that students remain at the center of the experience. At the same time, they are carefully adding in student questions to elevate the author’s message. 

This is how the virtual author visit becomes a shared experience. The host maintains the energy, adjusts pacing when needed, and creates space for authentic dialogue. As a result, students are now actively participating, not just listening. 

Student Curiosity is the best part

Without a doubt, student curiosity is the highlight of any virtual author visit. Students often ask thoughtful, nuanced questions that go beyond the surface-level details. They are known to explore themes, make real-world connections, and ask about moments in the story that the host may not have considered.

Kaylyn shares that the most memorable questions are those that “lean into deeper ideas and really push the author to speak to their purpose.” Authors on BookBreak are often surprised and delighted by the level of insight students bring. In many cases, these moments lead to the most meaningful and memorable parts of the virtual author visit.

The Conversation Continues: What Happens After the Virtual Author Visit Ends

While all the sessions must come to an end, the impact of a virtual author visit continues beyond what happens on the screen and behind the scenes. Students often leave feeling inspired to read more, write their own stories, or continue talking about the ideas explored during the virtual author visit. Teachers and librarians also use the experience as a springboard for deeper learning and reading engagement. 

Authors reflect on these visits, and many have shared how much they value the opportunity to connect with students. We’ve seen that the conversation often leaves a lasting impression on both sides, reinforcing the power of connection through storytelling.

According to research from the International Literacy Association, student engagement increases when students feel connected to what they read. When students hear about an author’s journey, they begin to see themselves as readers and writers. Virtual author visits help students understand that stories come from real people, and that their own voices matter.
